Job Advert Summary:
Bulk Water Services – Operations. Provide secretarial services to the Manager Water Quality Specialist Services and administrative assistance to the department.

Minimum Requirements:

  • NQF6 Diploma in Office Administration / Secretarial
  • Valid driver’s license, Rand Water proficiency driving test required
  • 3-5 years’ office administration / secretarial experience, preferably at middle to senior management level
  • Proficient English communication skills (verbal and written)
  • Experience in shared electronic records system

– Advanced proficiency in Word, Excel, PowerPoint, Adobe, Outlook

Primary Duties:

  • Manage the manager’s diary and provide secretarial support
  • Assist the manager’s office and department management committee
  • Maintain the shared electronic records system
  • Organize departmental events and meetings
  • Prepare meeting minutes and notes, both physical and electronic
  • Coordinate drafting of reports, documents, memorandums, etc.
  • Ensure quality and compliance of department documents
  • Foster relationships with stakeholders
  • Follow up on action items from meetings
  • Handle asset stock-take and safekeeping
  • Manage departmental attendance records, timesheets, claims, and leave
  • Research information for the management team
  • Manage reception and manager’s phone line

Secretary Knowledge:

  • Proficient in English language
  • Office administration and secretarial duties
  • Shared electronic records system
  • Advanced Word, Excel, PowerPoint, Adobe, and Outlook software


  • Proficiency in Word, Excel, PowerPoint, Adobe, and Outlook
  • Effective verbal and written English communication
  • Accurate minute taking from meetings
  • Research skills for the management team
