Requirements:
- Grade 12 Certificate
- No experience required
- Job knowledge: Microsoft package
- Job skills: Telephone etiquette, communication skills (verbal and written), interpersonal skills, switchboard operation skills
- Ability to learn the Department’s service delivery components
- Ability to take initiatives
- Ability to work independently
- Ability to organize and prioritize work
Receptionist Duties:
- Receive and channel telephone calls and messages to relevant role players
- Take down messages and distribute them promptly
- Attend to clients and visitors, directing them to relevant officials
- Handle client queries and provide basic information about the Department’s services
- Liaise with internal and external personnel and provide relevant information as required
- Operate the switchboard, answering incoming and outgoing calls
- Maintain a database of important contact numbers
- Report faults on the telephone system
- Monitor telephone costs using the Telephone Management System
- Screen, forward, and receive calls
- Operate office equipment such as fax machines and photocopiers
- Update and distribute the internal telephone directory
- Maintain and control the visitor register at the reception

- Certified copies of Identity Document, Grade 12 Certificate, and required qualifications (to be submitted by shortlisted candidates)

- Foreign qualifications must be accompanied by an evaluation report issued by the South African Qualifications Authority (SAQA)
- Completion of the Senior Management Pre-entry Programme (for Senior Management Service level) as endorsed by the National School of Government (NSG)
- Completion of the Nyukela Programme: Pre-entry Certificate to SMS as endorsed by DPSA (an online course available at the NSG)
Note: Failure to submit the required documents by the specified deadline may result in disqualification. The evaluation of foreign qualifications by SAQA is the applicant’s responsibility, and proof of evaluation must be provided if shortlisted. The Senior Management Pre-entry Programme and Nyukela Programme are necessary for higher-level appointments.
