Job Description:
Seriti is seeking a Personal Assistant (C2) to provide secretarial, clerical, and administrative support to ensure safe, effective, and efficient Operations services at the Phola Plant in Mpumalanga.

Key Responsibilities:

  • Handle administrative processes and queries with accuracy and quality.
  • Review and distribute communications from the operations teams.
  • Execute clerical duties efficiently and on time.
  • Maintain an effective document management and control system.
  • Coordinate office services such as personnel, housekeeping, and budget preparation.
  • Oversee plant laundry and office cleaning services.
  • Organize team functions, events, and site visits, including bookings and catering.
  • Properly refer, follow up, and resolve queries to prevent escalation.
  • Generate accurate reports and distribute correspondence promptly.
  • Manage purchasing, collection, and maintenance of office inventory, including safety gifts and initiatives.
  • Create and process purchase requisitions and invoices on time.
  • Handle travel arrangements.
  • Participate in and support community projects.
  • Arrange high-level visits.
  • Manage the General Manager’s calendar.
  • Maintain confidentiality regarding all documentation, invitations, and discussions.
  • Manage office stock levels, including stationery, IT, and general supplies.
  • Take and distribute effective minutes of meetings.
  • Keep records of spend and consumption.
  • Ensure office safety and act as the COVID officer for the area of responsibility.
  • Manage leave rosters.
  • Assist in maintaining office asset registers and coordinating repairs to the office area.
  • Coordinate and administer approved WhatsApp groups.
  • Implement an efficient diary management system.
  • Schedule and manage internal and external meetings, considering venue, travel, and meeting intervals.
  • Coordinate accurate arrangements for local and overseas travel.
  • Arrange accommodation and entertainment for company visitors.
  • Interact continuously with clients, customers, and vendors.
  • Cultivate good relations with internal and external stakeholders.

Requirements:

  • Grade 12 or equivalent qualification.
  • Certificate/Diploma in Office Administration or a related field.
  • 2 years of relevant experience in an office administration environment.
  • Computer literacy (MS Office).
  • Proficient in written and oral English language.
  • Administration and data capturing skills.
  • Business writing skills.
  • Ability to handle pressure, be innovative, and self-start.
  • In possession of or able to obtain a Certificate of Fitness.
  • Valid K53 driver’s license.

Advantageous:

  • Understanding of SAGE, SAP, and X-Time.
  • Basic knowledge of payroll rules and conditions of employment for various employee categories.
